Budgets with approval and alerts

Build a monthly budget per account and location, send it for approval, then compare it with actual spending. Managers get an email digest the moment an account goes over its approved budget.

See where cash came from and went each month, then project the coming months and the funding you need to stay above a minimum balance, straight from your ledger.

Social Media module

Write one post, tailor it for Facebook, Instagram and LinkedIn, get it approved and schedule it on a shared calendar, then track reach and reply to comments without leaving FlairSuite.

Finance & Accounting: budgets, cash flow forecasts and AI bank matching

This month's biggest release for finance teams: planning tools that sit on the same ledger as your actual figures, and a faster, safer bank reconciliation.

Budgets with an approval workflow

Create a budget for a year for the whole company or for one or more locations, with a monthly amount for every income and expense account. Type a yearly total to spread it evenly, type each month, or paste cells straight from Excel, and fill a new budget from last year's actuals or from another budget. Budgets move from Draft to Waiting approval, Approved, Returned or Rejected, and Closed, and approvers review a PDF of the budget before they sign it off.

Budget overrun alerts by email

Switch on Budget Alerts in Accounting Settings and FlairSuite emails a digest of every account that has used a set percentage of its approved budget, for this month, the year to date or both. You choose the threshold (100% for overruns, 90% for an early warning), ignore small overruns, flag revenue that falls short of budget, send daily or weekly at a set hour, and only when something has changed. Alerts go to a user group, extra email addresses and the in-app notification bell.

Budget vs Actual report

A new report shows budget, actual and variance for every income and expense account, month by month, with year-to-date figures, a Used % column and a favourable or unfavourable status. Accounts are grouped with subtotals, ending in total revenue, total expenses and the net result, for the whole company or one department or location.

Monthly Cash Flow Statement

See cash inflows and outflows of your bank and cash accounts month by month, with opening and closing cash. Switch between a view by source, a view by Operating, Investing and Financing activity, and a bank position view showing each account's month-end balance. Because it is built from the ledger, it always agrees with your bank balances.

Cash Flow Forecast with funding requirement

Project the coming months from the average of the last 3, 6 or 12 months, the same month last year, a trend line or your approved budget. Adjust inflows or outflows by a percentage, set a minimum cash balance, and the report shows the funding you need to raise or defer in any month that would fall below it, and the surplus above it.

Match bank statements with AI

On the bank reconciliation screen, Match with AI finds the ledger entries behind the unreconciled statement lines, including one deposit made up of several receipts, amounts that repeat and references hidden in descriptions. Each suggestion shows the statement line, the ledger entries, a confidence level and the reason, with system amounts and totals side by side. Nothing is saved until you tick the matches and click Reconcile.

More bank reconciliation filters

Unreconciled items can now also be searched by reason or by the user who excluded them as well as description, voucher number, amount and date, with a minimum and maximum amount, a transaction date range and a choice of ledger transactions or statement items only. Cancelled transactions are flagged and can be filtered, and pickers stay open so you can select several items in a row.

Original statement file on drafts too

The original bank statement file can now also be opened while the statement is still a draft, before anything is imported: PDFs open in the viewer and Excel or CSV files download, so you can check the AI-read figures against the source. Statement sheets also keep their header rows frozen to fit your screen.

Reconciled entries are protected

Once a transaction has been reconciled with a bank statement, it can no longer be deleted from journal vouchers, purchase invoices, asset records or anywhere else. A customer receipt that has already been deposited in the bank cannot be cancelled while that deposit stands. Your reconciled bank balance stays reconciled.

Receipt Deposit Status and Receipts vs Bank Deposits reports

Two new reports show which customer receipts have reached the bank. Receipt Deposit Status lists every receipt in a period with its deposit status (Deposited, Not deposited, still with the collector, Direct to bank or No deposit needed), deposit reference, date, bank account and collector, filtered by pay type. Receipts vs Bank Deposits puts each receipt next to the deposit that cleared it for every Cash In Transit account, and its Pending column adds up to the account balance, so money that never reached the bank is found in minutes.

Clearer cancellations on every document

Receipts, adjustments, refunds, cashier submissions, payment vouchers, cheques, purchase invoices, supplier credit notes, attendance deductions, received assets and bank vouchers now share one cancellation card: cancelled date, cancelled by and, where recorded, when the action was actually taken. Bank vouchers can no longer be cancelled with a date before the voucher or in the future.

Petty cash PDFs grouped by location

Petty cash vouchers and property expense sheets now offer Download PDF and PDF with Transactions straight from the record, for users with the right permission. Templates can group items by location with a subtotal for each, so a branch or property sees its own spending at a glance.

Fiscal period history

The fiscal year page now has Periods and History tabs, showing who opened or closed each period and when, with a Last change column and a period filter. Auditors can see at a glance when the books were reopened.

Cheque printing refinements

Building on the new cheque designs, the small cheque layout and its date position have been realigned, the crossing lines now sit clear of the payee name, and cheques laid out on A4 tell the print dialog to pick A4 paper, so they no longer shift on printers that default to Letter.

Report on a whole account group

Account filters in finance reports now let you pick a parent group, not only single accounts, so one report can cover all bank accounts or all expense accounts in one go.

Social Media: plan, approve, publish and measure from one place

A new module under Customers lets your team run Facebook Pages, Instagram accounts and LinkedIn profiles and pages from FlairSuite, with the same approvals you use for the rest of the business.

One post, every channel

Write a post once, add the channels it goes to, and adjust the text for each network in its own tab. Live previews show how the post will look on Facebook, Instagram and LinkedIn, with your photos and each network's colours, and a checklist catches problems before you publish. Drafts save automatically.

Scheduling and approvals

Publish now or at a set date and time, and FlairSuite posts it for you. Posts can go through your approval workflow first, and approvers review a PDF of the post before they sign it off.

Content calendar

See every scheduled and published post on a calendar. Click a day to list its posts with time, status, channels and author, start a new post on that day, or drag a post to another day to reschedule it.

Engagement on every post

Each published post has an Engagement tab with views, reach, saves and clicks per channel, alongside a timeline of who wrote, approved and published it. A post can also be taken down from Facebook or LinkedIn from the same page.

Live feed with comment replies

The Feed page shows each connected channel's own posts as they appear on the network, with comments and reach. Reply to comments, or hide and unhide them, without logging in to each platform.

First comment, hashtags and Canva designs

Add a first comment that is posted straight after publishing, insert hashtags from saved groups or popular tags, and pick a design from your own Canva account to attach it to the post as an image.

WhatsApp, chat and AI: your chatbot on your website and Instagram

The AI assistant that already answers on WhatsApp can now answer visitors on your website and in Instagram direct messages, with every conversation in the same inbox.

Website chat widget

Add the AI chatbot to your website by copying one short code. Set the title, greeting, colour, corner, light or dark theme, English or Arabic, suggested questions and a button label, ask for name, email or phone before the chat, let visitors send a picture or PDF, and limit which websites it may appear on. A live preview updates as you edit, and agents take over chats from the inbox.

Instagram chatbot

Connect an Instagram business account under Communications, Instagram Profiles, and a chatbot answers its direct messages, creates leads and hands over to an agent when needed. Conversations, photos, videos and voice messages land in the same inbox as WhatsApp and web chat.

Chat sessions that close themselves

WhatsApp conversations are now grouped into sessions. When a customer stops answering, the chat sends a reminder, then a goodbye, and the session ends and moves to the Archive; the next message opens a new session and the chatbot answers again. Agents can put a chat on hold so the customer hears every few minutes that you are still checking, open or end a session by hand, and look back at each past session read-only, while the inbox counts down the time left to reply. Standard welcome and goodbye answers in English and Arabic are ready to use.

Inbox visibility by role

The inbox now has Mine, Waiting, All and Archive lists, and roles decide who sees only their assigned chats and who sees every conversation and archived chat in the company. Sensitive customer conversations stay with the right people.

Reminders when a customer is waiting

Set a chatbot to email the assigned agent when a customer has waited a set number of minutes for an answer, so no chat is left unanswered. The agents list also flags anyone who has no permission to reply.

WhatsApp profile picture and connection check

View and change your WhatsApp number's profile picture from FlairSuite. The connection page now checks that incoming messages are reaching FlairSuite, and the test page can send a plain text message as well as a template.

New SMS gateway

SMS sending, including bulk SMS and notifications, now runs through the Mobishastra gateway, set up from your communication profiles.

Point of Sale: receipts on WhatsApp and flexible payment screens

Cashiers can now send the receipt to the customer's phone, and each till can collect the extra details your business needs at payment.

Send POS receipts by WhatsApp

A WhatsApp button on the receipt sends it to the customer in one tap, or switch on automatic sending after every completed sale when the customer has a mobile number. Ready-made wording for retail, restaurant and leasing tills can be submitted for WhatsApp approval in one click, and each till can override the setting and see which number it sends from. Less paper, and a receipt the customer cannot lose.

Payment options per device

Choose which extra fields each till shows on the payment screen: CPR, deposit, note and address. What the cashier enters is saved with the order, so leasing and delivery details are captured at the point of sale.

Property & Real Estate: one listing area for sales and leasing

Property sales and leasing listings now work as one streamlined module, with a new property page that keeps everything about a listing on one screen.

Sales and leasing listings in one place

Properties for sale and properties for lease now share one listing module, with a single Sales list and a single Leasing list. Status and Archived filters replace the separate pages for active, reserved, leased and archived properties, so agents find any listing from one screen.

New property listing page

Each listing shows its photo, English and Arabic titles, total price, area, salesman and status, with tabs for details, sub-properties, a map with the plot's parcel number and area, payments, visits and activities. A status history shows every change with who made it and why, and the brochure is one click away.

Commission at a glance and default templates

The listing page breaks commission into total, company and agent shares. A commission template can be marked as the default, so every new property starts with the right commission.

Listing settings and easier photo upload

Zoning categories, facilities and nearby places are managed per company in Real Estate Settings, and property photos and attachments can be dragged straight onto the form.

Inventory & Assets: safer product options and variant pricing

Refinements to last month's product variants and attribute pricing, so options are priced once and set up the right way.

Options never charged twice

When a variant's price already includes an attribute's extra price, that attribute is no longer offered again as a paid option on the order, invoice or credit note line, so customers are never charged twice for the same size or add-on.

Only display-only attributes on categories

An attribute that creates variants is set per product, so only Display only attributes can now be attached to a whole product category. FlairSuite explains why if you try, which keeps category options from adding extras that variant prices already cover.

Variant settings locked once in use

Once products use an attribute, its Create variants or Display only choice is locked and the screen shows how many products depend on it. Time attributes carry a duration and repeat on each value and never create variants.

Options kept on invoices and credit notes

Lines brought onto an invoice or credit note from an order keep their chosen options and package dates, so the document bills exactly what was ordered.

HR & Payroll: employee profile PDF and safer payroll set-up

Smaller but useful changes for HR teams handling employee files and payroll profiles.

Employee details PDF

A Download Employee Details button on the employee page produces a complete PDF file: personal and contact details, employment details, salary with basic, additions and deductions, working hours, family members, immigration documents, assigned assets, leave and work experience. Useful for audits, visa renewals and personnel files.

Leave balance adjustment PDFs

Leave balance changes now print on two approval PDFs: Leave Balance Addition for days added or subtracted, and Leave Balance Correction when a balance is replaced. Both show, for each employee and leave type, the balance before, the change and the balance after, with staff number, CPR, department, the request details and every approval step.

Tidier leave request PDF

The leave request PDF now prints the current leave balance on one line, and the employee's CPR is available on the form.

Payroll currency protected

Once salaries or other records use an employee profile's currency, the currency is locked and the profile shows what depends on it, so payroll figures cannot be thrown off by a change in the wrong place.

The FlairSuite app for iOS and Android makes answering WhatsApp customers from your phone quicker and more reliable.

Review voice notes before sending

When you stop recording, the voice note waits in the composer so you can play it back, then send or delete it. You never send a note you have not heard.

Chat sessions in the app

The app shows each chat's session status, with buttons to open, end, hold or release a session and system lines in the thread when a session starts or ends, matching the web inbox.

Tap to use quick replies

Saved quick replies can now be inserted by tapping them in the list, with no shortcut to type, so standard answers go out in seconds.

Photos that always send

Pictures are prepared in a format WhatsApp accepts before they are sent, with a short progress indicator while they are processed, and the keyboard stays open after you send a message.

Clear access messages and company icons

Users without permission for the inbox now see a clear access message instead of an error, and the company switcher shows each company's own app icon, set under Account Branding.

Invoice editing that matches the web

Editing an invoice in the app now asks for a default store only when the invoice has stock items, shows saved invoices with the totals they were filed with, and warns when the customer already has an open sales order for the product.

Pin pages and switch between them

Pin up to eight pages and move between them like windows. A pinned page keeps its filters, loaded data and half-filled forms when you leave it, so you can check a customer statement in the middle of an invoice and come back exactly where you were.

See why an approval was returned

When an approver sends a document back, a banner at the top of the record shows who returned it, at which step, when, and the reason they gave. It works on invoices, quotes, orders, contracts, credit notes, purchase orders, purchase invoices, RFQs, supplier credit notes, payment vouchers, journal vouchers, payroll and instalment plans.

Embed FlairSuite forms on your website

Any public form from the form builder can be placed on an external website with one line of code. It resizes itself, and each placement can set its own colours, font, corner radius, width and logo, or hide the title. Submissions go straight into FlairSuite.

Easier form builder

The form builder now uses a side menu that marks unsaved sections, lets you delete a form from its page, and picks the users to notify from a searchable list.

Control who assigns user groups

A new Can Assign User Group permission decides who may choose a user's group. Everyone else creates users in the default group set in Security Settings, so new staff never get administrator rights by mistake.

Lists that open as cards

Administrators can set lists that offer both views to open in card view by default, while each user's own choice still wins.

Faster, tidier screens

A more compact top menu, a loading bar while pages change, breadcrumbs on every settings page, dark mode fixes and images that load from cache instead of downloading again on every page.

Seasonal themes

FlairSuite now marks Bahrain National Day, Ramadan, the Eids and other occasions with a matching colour theme and login greeting, with a countdown in the days before.

Can FlairSuite compare our budget with actual spending?

Yes. You enter a monthly budget per account and location, send it for approval, and the Budget vs Actual report shows budget, actual, variance and year-to-date use for every income and expense account. Budget alerts can email managers when an account goes over its approved budget.

Does FlairSuite produce a cash flow forecast?

Yes. The Cash Flow Forecast projects monthly inflows, outflows and closing cash from your history, seasonality, trend or budget, and shows how much funding you need to stay above the minimum cash balance you set. It sits alongside a monthly cash flow statement built from the same ledger.

How does AI bank reconciliation work in FlairSuite?

Click Match with AI on a bank statement and FlairSuite suggests the ledger entries behind each open statement line, with a confidence level and the reason for each match. You review and tick the matches you agree with, and only those are reconciled.
