Property management: expense sheets, expense caps and a clearer owner report

For companies that manage buildings on behalf of owners, FlairSuite property management software now handles the monthly cost cycle end to end.

Management expense types with cap amounts

A new Management Expenses page in Real Estate Settings lets you define expense types, such as electricity or cleaning, each with a cap amount. You set them up once for the whole portfolio.

Switch expenses on or off per property

Each property has an Expenses settings tab where every expense type can be enabled or disabled. Buildings only show the costs that actually apply to them.

Monthly expense sheets

From the property page, create an expense sheet for a month and year and fill in a grid of units against expense types. Sheets can be edited, previewed and approved, so every month's costs are checked before owners see them.

Owner monthly report built on approved sheets

The property monthly report now pulls expenses from the month's expense sheet and shows, for each unit and common area, the rent, each expense type, total expenses, management fees, gross and net income and whether the unit is occupied or vacant. It can be exported to PDF to send to owners.

Units managed in a pop-up, with billing items created for you

Adding or editing a unit now happens in a pop-up window with a check for duplicate unit numbers. Each unit is automatically set up as a billable item under the property, ready to use on lease contracts and invoices.

Contracts tab on each property

A property now lists the contracts linked to its units, with tenant, unit number, amount and status, and an Add Contract button. Leasing teams see every tenancy in a building in one place.

Property location on the map

Pin a property's location on a map and save it, so staff and contractors can find the building easily.

Collections: detailed case statuses from first reminder to settlement

Court case management now covers the whole legal recovery path, including the steps before and after court.

Status Update with a dated history

A Status Update action on each court case records the new status with a date and keeps it in the case history, refreshing the last activity counter. Managers can follow a case without reading every note.

Full set of recovery statuses

Statuses now include pre-court reminders 1 to 3, pre-court messages, lawyer letter and process to court, first instance and appeal (ongoing or ruled), ruled with execution, instalments or paid, dropped with instalments, paid or settled, completed outcomes, instalments and follow-up through a mediator. Special situations such as missing documents, sold on auction, not handed over or passed away can also be recorded.

Point of Sale: clearer receipts

Receipts carry the details customers and auditors look for.

Branch address and VAT details on receipts

Each POS device now has an address field that prints on the receipt, and the VAT account number and its date of issuance are shown centred on the receipt. Customers get a cleaner, more complete receipt.
