Product update · December 2024
Know the moment your visitor arrives at the gate
December focuses on gated community security. Owners now get a text when their guest arrives, and guards work to clearer rules when allowing or refusing entry. Finance teams also get more sensible cancellation dating for post-dated documents.
Highlights
The big changes in December 2024
Arrival SMS for owners
Owners receive a text as soon as security admits their visitor, including the visitor's name and car plate.
Deny with a reason
Guards record why a visitor was refused, so management can review every denied entry.
Cleaner gate data
Duplicate car plates on the same day are blocked and every invitation needs a name or a plate.
Gate and visitor management: arrival alerts and clear rules for guards
Security teams get firmer controls and owners get peace of mind.
Visitor arrival SMS to the owner
When a guard admits a visitor, the owner who issued the invitation receives an SMS saying their visitor has arrived, with the visitor name and car plate. Owners know who is on site without calling the gate.
Deny Visitor with a recorded reason
Refusing entry now opens a Deny Visitor form where the guard writes the reason as a security note. The previous version of the record is kept, so supervisors can review exactly what happened and why.
Firm rules for allowing and denying entry
Guards can only allow or deny invitations that are still pending and dated for today, and a car plate must be recorded first. This stops mistakes such as admitting someone on an old invitation or acting twice on the same visitor.
Better invitation data from the back office
Invitations created by staff now need either a visitor name or a car plate, and the same car plate cannot be invited twice for the same day. If a visitor mobile is entered, the visitor receives the SMS invitation with their code, just as with resident invitations.
Newest visitors first
The security visitors list now shows the most recent invitations at the top, so guards find today's arrivals faster.
Finance & Accounting: cancellation dates that suit post-dated documents
A practical fix for teams that issue documents with future dates.
Cancel on the document's own date
Customer payments, sales invoices, credit notes, payment vouchers and purchase invoices can now be cancelled with the same date as the document, even when that date is in the future, for example a post-dated cheque payment. Cancellations still cannot be dated before the document, and other future dates remain blocked, so your books stay in the correct period.
FAQ
December 2024 update: questions answered
Does FlairSuite notify owners when their visitor reaches the gate?
Yes. When security admits the visitor, the owner receives an SMS confirming the arrival with the visitor's name and car plate.
Can security guards record why they refused a visitor?
Yes. The Deny Visitor form asks for a reason, which is saved as a security note together with the history of the invitation.
Can I cancel a post-dated payment on its own date?
Yes. Cancellations can now use the document's own date, even when it is in the future. Dates before the document, or other future dates, are still blocked.
