Product update · November 2024
Smoother gate entry and simpler customer refunds
November brings a big step forward for gated communities: visitors now receive their invitation code by SMS and every gate action is recorded. Finance teams also get a quicker way to refund customers and fewer blocked cancellations.
Highlights
The big changes in November 2024
SMS visitor invitations
Visitors receive a bilingual SMS with the date, destination and a unique invitation code, so they are expected at the gate before they arrive.
Refunds through a bank voucher
Refund a customer straight from a payment method and its bank account, without picking a settlement account by hand.
Full gate audit trail
Every invitation now shows who created it, which guard acted on it and who deleted it.
Gate and visitor management: SMS invitations and a full visit history
Residents, owners and security teams in gated communities get faster, better documented visitor entry.
Visitor invitations sent by SMS
When a resident registers a visitor with a mobile number, FlairSuite sends the visitor an SMS in English and Arabic with the destination, the visit date and a unique invitation code. The visitor simply reads the code to the guard on arrival. This removes phone calls to the gate and speeds up entry.
Automatic update when a visit changes
If the resident moves the visit to another date, the visitor automatically receives a new SMS with the updated date and the same invitation code. Nobody turns up on the wrong day because of an old message.
Visit history and upcoming visits
Residents can see their past visitors and their upcoming visits in separate lists, and search both by visitor name, car plate or invitation code. It is easy to check who came and who is expected.
Audit trail on every gate record
Each invitation now records who added it (the resident or a staff member), which security user actioned it at the gate, and who deleted it if it was removed. Security managers get a clear answer when questions come up later.
Same-day check at the gate
Guards can only act on invitations dated for today. Old or future invitation codes cannot be reused to get through the gate.
Complete lists for guards and accurate resident balances
Security users now see the full visitor list rather than a capped number of records, and the outstanding balance shown on the resident dashboard is calculated correctly.
Finance & Accounting: flexible customer refunds and correct cancellation dates
Two everyday finance tasks became quicker and less error-prone.
Refund through accounts or through a bank voucher
The Make Refund screen now offers two buttons: Make refund through accounts, where you choose the settlement account, and Make refund through bank voucher, where you choose a payment method and FlairSuite uses that method's bank account. A Refund notes field and a clear warning when no payment method is chosen keep refunds documented and correctly posted.
Cancellation dates that make sense
Cancelling a sales invoice, credit note, customer payment, payment voucher, purchase invoice or supplier credit note on the same day it was created is now accepted. The rules stay strict where it matters: a cancellation cannot be dated before the document or in the future.
Point of Sale: faster device setup
A small change that saves time for businesses with long customer lists.
Searchable agency selection on POS devices
On the POS device settings page, the agency or customer linked to a device is now picked from a searchable list instead of a long dropdown. Setting up tills is quicker when you have thousands of customers.
Platform: a clearer view of your installed modules
Administrators can see at a glance what their subscription includes.
Redesigned Installed Modules page
The Installed Modules page in your cloud account now shows each module with a larger image, its version and an Installed or Not installed badge based on your user group's privileges, with an option to list installed modules only. It is easier to see what your team has access to.
