HR & Payroll: letter templates, draft employee alerts and quicker payroll screens

The biggest change this month is in HR: a complete letter generator, plus easier day-to-day payroll and self-service screens in the HR and payroll software.

HR letter template library

Build a library of letter templates, each with a title, description, category and Active or Inactive status. Categories cover Appointment, Termination, Promotion, Warning, Appreciation and Custom letters. The editor supports fonts, sizes, alignment, headings and tables, and the list can be searched and filtered by category and status.

Employee details filled in automatically

Insert placeholders from a picker grouped into personal details (name, CPR, nationality, passport, joining date), job details (job title, department, work shift), salary (basic, allowances, deductions, net salary) and company details (company name, address, today's date). You can add your own custom placeholders, such as a reason or a period, and type the value when generating. If an employee is missing data for a placeholder, FlairSuite warns you and lets you fill it in or continue.

Generate, preview and print letters

Pick a template and an employee, preview the letter with real data, then print or download it as a PDF on your company letterhead. Consistent, correct letters take seconds instead of a Word document and a copy-paste.

Letter history and reprints

Every generated letter is stored. Search the history by employee, by who generated it or by date, and reprint any letter exactly as it was issued, which gives HR a clear record for audits and disputes.

Draft employees alert

When employee profiles are left incomplete, the employee list now shows a banner with the number of drafts. A Draft Employees page lists them with the step each one reached, so HR can finish onboarding instead of losing track of half-entered staff.

Request history for employees

Employees now have separate history pages for their leave, letter, asset and payment requests, each with filters. Staff can check the status of past requests themselves instead of asking HR.

Clearer leave requests

The self-service leave request lets employees choose the leave type from cards, set the dates, choose a full or half day, and count calendar or working days. They preview the request before sending it to approval, which means fewer rejected or corrected requests.

Redesigned payroll screens

Generating and reviewing payroll uses cleaner screens: filter by month, currency, department or profile, compare with the previous month and arrange columns. The payroll details page shows totals for employees, additions, deductions and net salary on one screen. Exports to PDF, Excel and bank files, payslip printing and payslip emails work as before, with fewer clicks.

Faster batch additions, deductions, loans and overtime

Batch payroll inputs now use one table: pick the month, filter employees by profile or by those still without input, type amounts or hours inline and send the batch to approval. Entering monthly variations for a large workforce takes minutes.

Leave balance adjustments in three steps

Adjust leave balances by selecting employees, choosing to add to or subtract from the current balance or replace it, setting the effective date and confirming. The adjustment goes to approval before it applies.

Easier shift scheduling and employee set-up

Schedule patterns, schedule plans and the weekly shift calendar have been redesigned for quicker planning, with a warning before a plan overwrites existing shifts. The add employee wizard now runs in five clear steps and warns you before you leave with unsaved changes.

Loans, payroll history and bulk salary updates

Cancel a loan or an addition or deduction period with a reason that stays in the record history. History pages for additions, deductions and overtime are easier to read, and a bulk update shows the old value, the new value and the percentage change before it goes to approval.

CRM & Sales: salesman targets, sales by user and cleaner quotations

Sales managers get targets and commissions per salesman, and the CRM screens for leads, quotations and contracts are quicker to work with.

Salesman targets and commission tiers

A new Salesman Targets list lets managers mark users as salesmen. Each salesman has commission tiers with from, to and rate percentage, a 12-month target grid for each year, extended commissions and automatically calculated targets. Targets and commissions sit next to the salesman's details, notes and attachments.

Sales activity for each user

A user's page now shows the customers linked to them along with their sales orders, invoices, credit notes, follow-ups and quotes. Managers see each person's pipeline and results in one place, and can link customers to a user directly.

Leads on one page

Leads, My Leads, Won, Lost and Reserved leads have their own lists. A single lead page shows status, budget, contact details, last activity, days since activity, and tabs for calls, emails, follow-ups, meetings, visits and status updates, with Transfer Lead one click away.

Quicker quotations and contracts

Quotations and contracts open in a full-page editor with auto save, VAT and totals including VAT, payment terms and terms and conditions. From a quote you can convert to an invoice, generate a payment or send it for approval. Contracts support billing every 1 to 6 months or annually, recurring invoicing, finalising and termination.

Edit rights that follow the document status

Quotes, contracts and sales orders only show the Save button to users who are allowed to edit the document in its current status, and deleting a quote now asks for confirmation. This protects approved documents from accidental changes.

Correct VAT on quotes and orders

Lines with VAT-inclusive prices, or lines where VAT is removed, now calculate and save the right VAT, so quotation and order totals match the invoice.

Platform & Usability: a new ERP menu and simpler permission groups

Finding your way around FlairSuite ERP is faster, and administrators can see and change who can do what without digging through tabs.

ERP menu with module search

A new ERP Menu launcher shows the main apps and lets you drill into any module, or search for a screen by name. A horizontal menu bar gives every module a drop-down with counts for items that need attention.

Redesigned top bar

The top bar shows the current page, the time and day, a dark mode switch and a shortcut to Pending Approvals, so approvers never miss what is waiting for them.

Permission groups on one page

User groups now open on a single page with a group summary and cards showing only the permissions and record access actually granted. Change permissions with search and a Select All switch, add notes and attachments, and get a warning before leaving unsaved changes. Access reviews take minutes.

A dedicated Vendors area

Vendors, vendor invoices, payment vouchers, cheques, purchase orders, requests for quotation and credit notes are grouped under one Vendors menu. Customer documents are regrouped into quotations, contracts and orders, so purchasing and sales teams each find their documents faster.

Accountants get a cleaner journal entry view and tighter approval rules.

Journal entry details and printing

Journal entries open on a clear details page with printing and an approval view, and journal vouchers use a searchable account picker instead of a long list, which means fewer posting errors.

Stricter journal voucher approvals

Approve, return and reject work for any voucher that is not yet approved, and an approved voucher can no longer be approved or returned a second time. The ledger stays consistent with the approval trail.

Bank vouchers for account administrators

Account administrators always see bank payments from every year, even when their role is limited to current-year payments, so nothing is hidden from the people responsible for the books.
