AI bank statement import

Upload a statement as PDF, Excel or CSV and FlairSuite reads every line, checks the balances add up, and lets you review before importing. Bank reconciliation starts in minutes, not hours of typing.

Automated collections

Build collection processes that email customers, create tasks for collectors, escalate unresolved cases and track promises to pay. Overdue invoices get chased on time, every time, without spreadsheets.

Invoices and receipts sent automatically

When an invoice is approved or a payment is received, FlairSuite can send it to the customer by email, SMS or WhatsApp, straight away or after a delay you choose.

Finance & Accounting: AI bank statement import and faster bank reconciliation

This month's biggest finance release takes the typing out of bank reconciliation and gives your accounting team tighter control over cheques, vouchers and the audit trail.

AI reads your bank statements

Upload one or several bank statements as PDF, Excel (.xls or .xlsx) or CSV and FlairSuite's AI extracts every transaction line. It checks that the opening balance plus the movements equals the closing balance, shows you a preview to review, and only imports when you confirm. The original file stays attached to the statement for audit.

Opening balance check between statements

When you import a new statement, FlairSuite compares its opening balance with the closing balance of the last statement for that bank account. Gaps or missing statements are caught at import, before they turn into reconciliation differences at month-end.

Unreconciled transactions at a glance

The bank reconciliation screen now lists ledger transactions that have never been reconciled, with search by description, voucher number or amount. Your team sees exactly what is still open instead of hunting through the ledger.

Exclude transactions with a reason

Select transactions that should not be reconciled, such as opening entries or items cleared outside the period, and exclude them with a written reason. An excluded transactions list shows who excluded each item and why, and any item can be returned to reconciliation in one click.

Faster reconciliation for large statements

Matching now saves in batches and the statements list can be filtered, so banks with thousands of monthly transactions reconcile noticeably faster.

Insert cheque immediately on payment vouchers

When you pay a supplier by cheque, tick Insert Cheque Immediately and the cheque is added to the cheque register with its number as soon as the voucher is saved. Payment vouchers also gain a Bank Transfer payment type, cheque cancellation is more reliable, and account statements now show the cheque number against each line.

Duplicate journal vouchers

Recurring or similar journal entries can be copied with one click from the journal voucher sidebar, then edited and sent for approval. The journal voucher list also shows total debit and total credit columns, so you can scan entries without opening them.

Open and close fiscal periods from settings

Finance managers can open or close individual fiscal periods directly from the fiscal year screen, with a clear confirmation of the change. Closing a period protects reported figures from late postings.

Ledger entries shown on every document

Receipts, refunds, payment adjustments, payment vouchers, credit notes and purchase invoices now show a Financial Transactions card with the exact debit and credit lines posted to the general ledger. Accountants can confirm the accounting without running a report.

Payment voucher actions by permission

Payment vouchers gain a transactions PDF, plus cancel and delete actions that only appear for users who hold those permissions. Sensitive actions stay with the right people.

A fuller, searchable audit trail

Approvals, rejections, cancellations and saves on invoices, journal vouchers, bank vouchers, petty cash, purchase invoices, bank statement imports and reconciliations are now logged with a plain description. The audit log can be filtered by date, description, record type and user, and each entry opens to show its full details.

Accuracy and reliability improvements

Receipt and refund balances now calculate to three decimals, so totals match to the fils. Payments must be greater than zero, VAT and commission on bank vouchers cannot be negative or exceed the payment total, credit note approvals give clearer feedback, and petty cash attachments upload reliably.

CRM & Collections: automated debt collection, instalment plans and court cases

A complete collections workspace arrives in FlairSuite, so credit control runs on rules and tasks rather than reminders in someone's diary.

Collection processes with timed steps

Design a collection process as a sequence of steps, each scheduled a set number of days apart: send a reminder email, create a follow-up task for a collector, or freeze the customer account. Processes can be duplicated, reordered and switched on or off, so each customer group gets the right treatment.

Trigger rules with live match preview

Trigger rules decide which customers enter a process, based on conditions such as overdue amount or invoice age. While you build a rule, FlairSuite shows how many customers currently match, so you can tune it before anything is sent.

Collector pool and task management

Add collectors to a pool, assign customers to them, and give each collector a My Tasks list, with team and all-tasks views for managers. Collectors record the outcome of every call or visit, log follow-ups, reply and reassign tasks, so nothing is lost when someone is on leave.

Escalation policies

Define multi-level escalation policies that pass unresolved tasks to named managers after a set time. Overdue accounts reach the right decision-maker automatically.

Promises to pay

Record a customer's promised amount and date and track it as open, fulfilled, partially fulfilled, broken or extended. Collectors see at a glance who has kept their word.

Customer collection dashboard

Each customer has a collections dashboard with key figures, open invoices, tasks and a timeline of every step taken. Collection sessions can be started manually, paused, resumed or cancelled, and a cancellation banner shows who cancelled and why.

Compliance and KPI reporting

A Compliance & KPIs page shows session completion rate and average task resolution time, broken down by process and by collector, for the last 7, 30 or 90 days or the last year. Managers can see which processes and people are recovering cash.

Collection letters and email templates

Write collection emails and letters in a rich editor with tables and customer and invoice variables, then preview the letter as a PDF before it goes out. Every reminder is consistent and on brand.

Instalment plans

Group a customer's unpaid invoices into an instalment plan with a monthly, quarterly or custom schedule, a first due date and an amount per instalment. Plans go through your approval workflow, print as a PDF schedule for the customer, and can be amended or cancelled with a recorded reason.

Court case tracking

Track legal cases against customers with case number, case date, first instance ruling, appeal and execution dates, linked invoices and a log of follow-ups and status updates. Legal and finance work from the same record.

Communications: SMS gateways, event alerts and automatic invoice sending

FlairSuite can now react to business events and message your customers on the channel they actually read: email, SMS or WhatsApp.

Automatic invoice sending on approval

When an invoice is approved, FlairSuite can send it to the customer by email, SMS or WhatsApp, immediately, after a set number of days or at a custom date. Customers receive invoices sooner, and your team stops sending them one by one.

Receipts sent when payment is recorded

Recording a customer payment can automatically send a receipt with the receipt number, amount, payment method, reference and cheque number. Customers get instant confirmation and make fewer calls to check their balance.

Event configuration

Choose a business event, such as an invoice being approved or a payment being received, and attach one or more actions with their own message text. Available variables are listed beside the editor, so messages are personalised without technical help.

SMS gateways and templates

A new SMS settings page lets you add several SMS gateways, set a default, send a test message, check the gateway balance and record the cost per SMS. Failed messages retry automatically, and SMS templates can be written in English and Arabic with customer variables.

Invoice email templates and bulk sending

Create reusable invoice email templates with variables such as customer name, invoice number, due date and outstanding balance, or generate a ready-made set in one click. The Send Invoices screen filters customers by overdue days, minimum amount and balance, queues the emails and can save the selection as an automation.

Draft templates for bulk email

Bulk email users can now create a draft template directly from the template picker, so a new campaign does not mean leaving the screen.

Reports and usability: a new report viewer, spreadsheets, favourites and online sign-up

Reports, lists and navigation all got faster to work with this month, and new companies can now set themselves up online.

More than 35 reports in the new report viewer

Finance, HR, asset, contact and ticket reports have moved to the new report viewer, including trial balance with drill-down, income statement, balance sheet, account and supplier statements, customer and supplier ageing, detailed VAT sales and purchase reports, payslips, salary certificates, salary transfer, leave balances, late and overtime totals, and asset depreciation. Every report has a date range picker and exports to PDF and Excel.

Advanced report filters you can save

Filter any report on any field with conditions such as equals, contains, between, starts with and their opposites, combined with and or or. Save a filter set under a name and load it again next month.

Open reports as spreadsheets

Fork to Sheet opens a report's results in a built-in spreadsheet where you can add workings, then save, rename and reopen it later. Analysis stays inside FlairSuite instead of scattered Excel files.

Favourites in the menu bar

Star the pages you use most and they appear in a Favourites list in the menu bar. Daily screens are one click away.

Personal list settings

Every list can switch between a list view and a card view, and each user can choose which columns to show, their order and the default sort. Settings are saved per user and can be reset to the defaults.

Online company sign-up

New businesses can create a FlairSuite company account online, choose a starting setup such as finance only, sales, trading or real estate, and preview the chart of accounts before confirming. A standard chart of accounts and payment methods (cash, bank transfer, cheque, card and POS) are created automatically.

AI chart of accounts generator and fiscal year setup

The setup wizard's AI chart of accounts generator asks about your industry, size, revenue streams, bank accounts and assets, and is now faster and more reliable. The fiscal year step lets you split the year into monthly, quarterly or semi-annual periods.

Inventory & Assets: product options, offers, stock transfers and issue notes

Stock teams get cleaner product setup, promotional offers and documented movements for every item that leaves a store.

One attribute system for product options

Sizes, colours, flavours, toppings and other options are now managed as product attributes and values in one place, with existing options moved across automatically. Attribute changes save as you go, and product lists show how many variants each product has.

Offers and promotions

Create Buy n, Get x offers or discount offers with start and end dates, build package offers, and set attribute value offers that apply to chosen products or POS devices. Promotions run on schedule without manual price changes.

Stock transfers between stores

Move stock from one store to another with a transfer document listing products and quantities, notes and attachments, and an approval step. Every movement between branches or warehouses is recorded.

Issue notes

Issue stock to a department, activity, location or customer with a stated purpose and debit account, and send it for approval. Internal consumption is costed to the right place in the accounts.

Delivery notes from invoices

Create delivery notes by picking items from customer invoices, with the remaining quantity shown for each line, or add custom items. Each note carries a delivery date and a status of waiting delivery or delivered, and a delivery orders list shows them all.

Product transactions report

Select a product and see every stock movement for it, with export to Excel. Stock queries are answered in seconds.

Fixed asset records

Each fixed asset now has its own page showing asset ID, category, department, location, buying cost, current value, useful life and the full depreciation schedule, with modify, disposal and remove actions. Asset categories and asset products also get dedicated pages.

Point of Sale: options at the till, offers and out-of-stock protection

The POS system now uses the same product options and offers as the back office, and stops cashiers selling stock you do not have.

Product options picker at the till

When a product has options such as size or toppings, the POS and online ordering screens open a picker so the cashier or customer chooses them before adding to the cart. Orders reach the kitchen or store complete.

POS offers

Offers can be set up for POS devices from POS settings, so branch promotions apply automatically at checkout.

Out-of-stock items blocked

Products with no available stock are stopped at the till with a clear message, and each POS can use a default stock store set in POS settings. Stock figures stay right and customers are not promised items you cannot supply.

Quantity keypad always available

Cashiers can always change quantities with the on-screen keypad, while discount keys remain controlled by your POS settings.

Attendance log

A new attendance log page lists all attendance records in one searchable list. HR can answer attendance questions without exporting device data.

Manual attendance entry

Search for an employee and record attendance manually when a device was unavailable or someone forgot to punch. Payroll stays accurate even on the odd day things go wrong.

Payroll checks and gross salary on the payroll PDF

FlairSuite now stops a payroll from being processed if it has no employees or its details are missing, and the payroll PDF shows each employee's gross salary. Large payrolls with hundreds of employees also scroll smoothly on screen.

Clear rules on salary change requests

Once a salary is approved, manually updated components are locked on the salary change request, with a note telling HR where to update them. This prevents accidental changes outside the agreed process.

Clearer messages in employee self-service

My Details, My Attendance, Apply for Attendance, My Requests and the shift calendar now show a clear message if something cannot be loaded, instead of a blank screen.

Purchase orders can be reopened, cancelled or deleted from the sidebar, and each action has its own permission. Purchase invoice actions follow the same permission-based approach.

Gated communities: golf carts, boats and smarter visitor invitations

Security teams and residents in gated communities get faster checks and better protection against invitation misuse.

Golf cart and boat look-up for guards

Security guards can search registered golf carts and marine vessels, including engine details, and see the latest registrations. Checks at the gate or marina take seconds.

Visitor invitations with OTP protection

Visitors invited by a resident are verified automatically and receive their invitation code by SMS. If a resident invites more than 20 visitors in 7 days, each further invitation needs a one-time code sent to the resident's mobile, which stops misuse of resident accounts.

Verified visitors only at the gate

When guards search for a visitor by car plate and date, only verified invitations are returned, so unconfirmed entries cannot be used to gain access.

Attachments on resident contact forms

Residents can now add an optional attachment when they send a message through the contact form, such as a photo of a maintenance issue.
