Requests for quotation with online supplier bidding

Send one RFQ to several suppliers, let them enter prices on a secure web page, compare and recommend bids as a team, then convert the winning quote into a purchase order in one click.

Your home page now builds itself from more than 30 widgets covering sales, collections, purchases, leads, support tickets and HR, showing each user only what their role allows.

Purchasing & Procurement: online RFQs, invoice requests and a two-stage purchase order

This month turns FlairSuite purchasing into a full procurement workflow, from collecting competing quotes to controlling who can request, price and approve what you buy.

Requests for quotation (RFQ) with online bidding

Create an RFQ with items, quantities, currency and a due date, then pick suppliers from your vendor list or add new ones by email. Once approved, each supplier receives an email with a secure link to a Request for Pricing page where they enter unit prices, VAT, comments and attachments without needing a login. You see quotes received, each bid's status and totals side by side, and can send a reminder to every supplier who has not replied yet.

Team evaluation of supplier bids

Colleagues can discuss bids in an internal comments thread that suppliers never see, and each employee can mark the one bid they recommend. Private notes stay on the RFQ for the buying team. The final choice still goes through approval, so the decision is documented and auditable.

From winning bid to purchase order

Convert the approved RFQ into a purchase order in one step, and convert again if you split the award between suppliers. If you need to change an approved RFQ, Re-draft sends it back for approval and then emails suppliers the updated request, clearing old quotes so everyone prices the same scope.

Suppliers can decline, buyers can cancel

A supplier can decline to quote and give a reason, so you know who is not bidding instead of waiting. Cancelling an RFQ emails the invited suppliers and closes their links. Buyers are notified by email the moment a supplier submits a proposal.

Purchase invoice requests

Staff can now draft a purchase invoice request for a supplier bill, send it through its own approval workflow and, once approved, convert it into a real purchase invoice. Separate permissions control who can create, view, edit, cancel, delete and convert requests, either for all requests or only their own. Requests have their own reference numbers, PDF and email.

Two-stage purchase order approval

Turn on the finalise option in purchase settings and a department can raise an order with just a description and quantity. After approval, a buyer with the right permission adds the products, accounts and prices and then finalises the order. This lets requesters ask for what they need while purchasing keeps control of suppliers and cost.

Purchase invoices post when approved

Approving a purchase invoice or supplier credit note now posts it to the ledger straight away, with no separate finalise step. Lines are checked before the document can go for approval, so nothing reaches the books without a product or account.

Email purchase orders to suppliers

Send a purchase order by email from the order screen, choosing from the supplier's contacts or typing any address. A Request PDF layout is also available on orders in English, Arabic and a detailed version, alongside a refreshed purchase order PDF.

Archive and restore suppliers

Suppliers you no longer use can be archived instead of deleted and found again on a separate Archived Suppliers list, where they can be restored with one click. Your supplier list stays clean without losing history.

Supplier statements and ageing

The supplier statement of account can now be filtered by document, description, debit or credit amount. The Supplier Aging report moves to the new report viewer with 0 to 30 day and older buckets, totals and PDF or Excel export, and payment voucher PDFs list the paid supplier invoices in order.

Finance & Accounting: VAT summary reports, smarter bank statement import and clearer invoices

Finance teams get VAT reports built for the NBR return, faster checks on every invoice and payment, and a long list of accuracy improvements.

Sales VAT Summary and Purchase VAT Summary

Two new reports list every taxable line for a period, with the customer or supplier VAT number, net amount, VAT rate, VAT and total. A summary at the top gives total excluding VAT, VAT and including VAT, plus the totals of cancelled invoices and credit notes, and a By VAT Type table repeats those figures for each rate. Both export to PDF and Excel, which makes preparing and checking your VAT return much quicker.

Bank statement import handles large PDFs

The AI reader that turns PDF bank statements into transactions now splits long statements into sections, so statements with hundreds of lines import in one go. It recognises the same account printed in different formats or as an IBAN, and when a file cannot be read it tells you why, for example that the file is too large.

Transaction history on every invoice

Each invoice now shows a transactions card listing the receipts, adjustments, refunds and credit notes booked against it, with method and cheque reference, plus the ledger entries it created. Journal vouchers show their posted transactions too, so you can answer 'where did this payment go?' without running a report.

Petty cash upgrades

Each petty cash type now appears in the menu on its own, with its own manager, default account and one-step or two-step approval. Lines record bill number, vendor, address, vendor VAT number, VAT type and amount, with several attachments per claim. Approved petty cash can be cancelled with a reason, and you can save and finalise in one action.

Receipt tracking timeline

A Receipt Tracking card on each receipt shows when it was created, submitted by the cashier, received and deposited, and by whom. Cash handling is easier to follow and to audit.

Print several invoice layouts

The PDF viewer now offers a template picker, so you can switch an invoice between layouts such as Default or With Qty, and print or download the one you need. Refunds gain a receipt without header and a payment with transactions PDF.

Customer statements and ageing

From a customer's statement you can open any invoice, receipt or credit note in place instead of downloading a PDF. Statements with no date range now show the full history, including future dated contract invoices, and the ageing report shows a total for advance payments.

Balance check report

The Invoices Balance vs Statement Balance report compares each customer's open invoice balances with the figure recalculated from receipts and credit notes, invoice by invoice. Click a customer to see exactly which invoices differ, so small mismatches are caught before month end.

More finance reports in the new viewer

Income Statement, Revenue / Income, Cancelled Receipts, Credit Notes, Cancelled Credit Notes, Total Sales and Total Purchase daily and month-wise, Invoice By Creator, Yearly Collection and Products Movement Details now run in the new report viewer with on-screen filters, grouping by month and PDF or Excel export. Clicking an invoice row in the invoices report opens its line items.

Journal voucher improvements

Searching the account picker now opens the matching branches of your chart of accounts, so sub-accounts are found at any depth. The journal voucher screen has a cleaner layout, and adjustments now show who created them and the settlement account used.

Readable PDF file names

Downloaded PDFs are now named after the document, for example the journal voucher, bank voucher or cheque number and date, or the employee's name, instead of a random code. Filing and emailing documents takes less effort.

Accuracy and reliability fixes

Invoice screens now follow your 'round VAT to the nearest 5 fils' setting exactly as the ledger does, VAT-inclusive prices are always treated as inclusive across quotes, orders, invoices, contracts, credit notes and the POS, and approved documents always show their filed totals. Journal voucher amounts with thousands separators, purchase invoices with discounts or negative lines, cheque printing and outstanding balance statements were also corrected, and statements now load faster.

Platform: automatic dashboards, quick create, search and a more powerful form builder

Everyday navigation got much faster this month, and the form builder gained the tools to build serious business forms without a developer.

Automatic dashboards by role

The main dashboard now assembles itself from ready-made widgets grouped into Sales, Collection, Purchases, Leads, Support and HR. Widgets include today's, this month's and this year's sales and collections, collection by method and by collector, outstanding receivables, total payable, top customers and suppliers, leads by source and status, conversion rate, open tickets by priority and latest invoices, bills, receipts and tickets. Each user only sees the widgets their permissions allow.

Quick Create and menu search

A new + button (or Ctrl/Cmd+Shift+K) creates an invoice, order, receipt, credit note, refund, voucher, journal voucher, purchase order, purchase invoice or petty cash claim from anywhere, listing only what you are allowed to create. Ctrl/Cmd+K opens a menu search that jumps straight to any screen.

Better global search and shareable links

Global search results now show as readable cards with the record's main details. Customer, company and supplier lists support direct links, so you can share a link that opens with the exact record selected.

Form builder: conditional fields and validation

Fields can now be shown or hidden based on answers to other fields. Required and unique checks each have three modes: off, a warning the user can confirm, or a hard stop. Several unique fields can be combined into one rule, for example registration number plus type, so duplicates are blocked.

Form builder: richer fields and layout

Add time fields, prefix and suffix labels or icons on inputs, Arabic labels for fields and options, and a read-only view of saved records. Reorder fields, change a field's type without losing existing data, choose where the form appears in the menu, and export or import a whole form design.

Public form links and submission alerts

Any custom form can be shared as a public link that people outside your company can fill in without logging in. Chosen users are notified whenever a new submission arrives, so enquiries and registrations are handled promptly.

Approvals with attachments and approver details

Pending approvals now list the record's attachments with view and download buttons, so approvers decide without opening another screen. Approval steps show each approver's photo and email, and clicking a name shows their details.

In-app Help panel

A Help button on each screen opens guides for that page, with text and video, written and kept up to date inside FlairSuite. The media library now lets you pick several files at once.

Profile, appearance and focus mode

The profile page has been redesigned with your contact details, role and a profile picture you can change. Theme and colour choices are saved to your user, so they follow you to any device, and a focus mode hides menus so dense screens such as reports can use the whole window.

Faster lists and spreadsheets

Press Enter to apply list filters, filter boxes take focus as soon as they open, and partial date ranges now filter correctly. The built-in spreadsheets gain sorting and AutoFilter, and Outlook email files (.msg) can now be attached to records. Photos of employees, customers and suppliers now appear across the system.

CRM & Sales: customer notes, contract invoicing exclusions and faster customer search

Sales and collections teams get more context on every customer and finer control over what contracts bill.

Customer notes on quotes, orders and invoices

Switch on the new Notes box for people and companies and anything you record there, such as payment terms agreed or delivery instructions, appears as a Customer Note banner whenever someone creates a quote, order or invoice for that customer.

Invoicing exclusions on contracts

Hold a product or service on a contract out of billing for a set period, with a reason, while it stays on the contract. Contract invoice runs skip it automatically, manual invoices block products excluded everywhere, and each contract shows current and upcoming exclusions with a full history and the option to cancel.

Contract and service product reports

New predefined reports cover Contract Details, Service Categories, Service Products List, Service Products by Status, Service Products Not Invoiced and Excluded Service Products. Leasing and service businesses can see at a glance what is under contract, what is billed and what is not.

Customer freeze controls and reports

Freezing and unfreezing a customer account is now controlled by permissions, with view-only access to the approval status for other users. Two new reports list frozen customers with the reason, date and balance, and customers whose outstanding balance is above a set limit and who are candidates for freezing.

Court case tracking

Collection court cases now record the first ruling, appeal, cassation and execution stages with dates and outcomes, and new statuses such as first ruling and ruled and paid. The court case screen has a clearer summary of amounts claimed, paid and outstanding.

Smarter customer search

Search by several words in any order, in English or Arabic, so 'ahmed ali' finds 'Ali Ahmed'. You can also search by mobile number, filter people to those with an active contract, and the Receive Payment screen now opens with customers already listed.

HR & Payroll: ready-made letters, payslips by month and bank transfer files

HR teams save time on letters and payroll, and employees get a tidier self-service experience.

Default HR letters with edit history

Every account now has standard Job Certificate, Salary Certificate and Pay Slip templates. Edit them freely: FlairSuite marks a letter as modified, keeps a history of changes and lets you return to the original at any time.

Payslips for any approved month

When generating a payslip letter, pick any month with an approved payroll and the preview updates for the selected employee. The payslip shows bank name, IBAN and account number, the leave balance and a created by and authorised signature footer.

Bank-wise salary transfer files

Download Bank Wise produces salary transfer files grouped by bank for all approved payrolls of the month, so each bank gets its own file without manual sorting.

Salary changes checked against pay grades

Salary change requests now look up the minimum and maximum of the chosen pay grade for the chosen currency, so proposed salaries stay within the approved band, including for new employees.

Easier batch overtime

Batch overtime now has a payroll month picker and quick date ranges such as This Month, Last 7 Days or Last 30 Days, and can hide employees who cannot receive overtime because payroll is already generated or they are inactive. The Overtime option only appears when overtime is enabled in HR settings.

Attachments on leave requests

Employees can attach documents such as medical certificates to a leave request, preview them and remove them before sending. Approvers see the files with the request.

Self-service that respects roles

My Details, My Requests and My Documents now show only the tabs and buttons each employee's role allows. From My Attendance, employees can request an attendance permission or overtime for a day in a popup and send it straight to approval.

HR reports and employee records

The Salaries Report now shows each salary component as its own column, and Overtime Details and Leave Requests reports move to the new report viewer. Employee pickers search by employee code and hide terminated staff, adding a new bank account automatically retires the old one, and salary history displays correctly for every employee.

Help Desk & Tickets: SLA tracking you can trust and smarter escalation rules

Support managers get a reliable picture of response and resolution times, and agents get a smoother ticket screen.

Live SLA panel on every ticket

Each ticket shows its first reply, next reply and resolution targets with live countdowns that respect business hours. Closed tickets keep a fixed record of which targets were met or breached, including breaches from before a ticket was reopened.

SLA clocks that stay fair

Each ticket keeps the SLA policy it started with, so editing a policy no longer changes the score of tickets already open. Tickets raised from the customer portal now get an SLA, and reopening a ticket restarts its reply and resolution clocks instead of firing escalations immediately.

Preview the impact of escalation rules

While creating or editing an escalation rule, FlairSuite shows how many open tickets it would act on right now. Triggers can be limited to new tickets or applied to the existing queue, and set to fire once rather than every time their conditions match.

Ticket attachments and email alerts

Drag and drop files when creating a ticket or replying, with clear previews of what is attached. Trigger and SLA email alerts now include the ticket's details, group and assignee, and customer-facing email buttons are disabled until a support email address is set up, so no message is silently lost.

Work groups

Adding users to work groups gives instant feedback, and users who are not in any work group are told so when they try to create a ticket, instead of seeing an empty list.

Gated communities and resorts get a single view of each resident and new reports on visitors and registered assets.

A new dashboard shows visitors today, upcoming visits and total records across your community. Pick a resident to see all their registered assets and their visitor history, with car plate, destination and status, on one screen.

Visitor and asset reports

New reports cover visitors, resident assets by type, asset expiry, resident registrations and the owners with the most visitors. Each runs in the report viewer with date filters and PDF or Excel export.

Cleaner resident asset registration

Asset forms for boats, golf carts, pets and similar items now use dropdowns for values such as vessel colour and block duplicate registrations on the server, so the register stays reliable.

Bulk update products with preview

Export your products to Excel, change prices or details, and upload the file. FlairSuite shows every row as Updated, Unchanged or Not found, highlighting the old and new values, and only saves the rows that really changed once you confirm.

Enable and disable products and services

Disable a product or service product with one click instead of deleting it, and switch to the disabled list to find or re-enable it later. Product type is now a required field, which keeps reports and stock rules consistent.

Set a failover priority for each SMS gateway, so if one provider fails the message is retried through the next. Connect your provider's balance check to monitor credit and get low-balance alerts before messages stop sending, and every send attempt is logged. The SMS Report and SMS Cost Report also move to the new report viewer with filters and export, so you can see what was sent and what it cost.

Can suppliers submit quotations online in FlairSuite?

Yes. You send a request for quotation to several suppliers by email, and each one enters prices, VAT, comments and attachments on a secure web page without needing an account. Your team compares and recommends bids, and the approved bid becomes a purchase order in one click.

Does FlairSuite have a VAT summary report for the NBR return?

Yes. The Sales VAT Summary and Purchase VAT Summary reports total net, VAT and gross amounts for any period, show cancelled documents and credit notes separately, and break the figures down by VAT rate. Both export to PDF and Excel.

Can I track SLA response times for support tickets?

Yes. Every ticket shows live first reply, next reply and resolution targets based on your business hours, and closed tickets keep a permanent record of which targets were met or breached. Escalation rules show how many open tickets they would affect before you save them.

Can FlairSuite print payslips and salary certificates?
