This month's accounting software updates cut the manual work in receivables, banking and month-end reporting, and make every figure easier to explain to an auditor.

Allocate a receipt in one step

A new Allocate screen lists the customer's unpaid invoices and contracts with a tick and an amount for each, so the unused part of a receipt is spread across several documents in one submit. It opens from the receipt itself and from the Unallocated Payments list, and the header shows the live allocated and remaining amounts. Collections staff no longer allocate one invoice at a time.

AI bank and credit card statement import

The AI statement reader now handles credit card statements as well as bank statements, reads very long PDFs in slices without losing or repeating lines, and merges several files into one statement period. Before anything is saved it checks that opening balance plus credits minus debits equals the closing balance, and warns you on the preview if it does not. If the upload fails, it tells you which column headings it could not recognise.

Bank reconciliation that pairs reversals

When you exclude a cancelled entry, FlairSuite now ticks the matching reversal with it, using the cancellation link rather than guessing on amount. Every statement keeps a full exclusion history showing what was excluded, why, by whom and when it was returned. Reconciled statements can only be deleted while they are the newest for that bank, so later opening balances never break.

Customer ageing with credit balances

The customer ageing report now has a Balances filter for all balances, outstanding only or credit balances only. Drilling into a customer lists unpaid invoices, credit notes and unapplied receipts, each labelled by document type, so the popup always adds back to the row you clicked. A per-customer Outstanding Balance PDF is one click away.

Supplier ageing you can drill into

Click a supplier to see the unpaid invoices behind their balance, with what has been paid and credited on each. Click again to see the payment vouchers and credit notes behind every Paid figure. The purchase invoice page also shows a Payment Vouchers card listing every voucher applied to it.

Statement of account with reversals and Excel

Customer statements now mark reversal entries and the documents they cancel in two clear colours, on screen, in the PDF and in the Excel export. A new amount filter on statements and account statements finds every debit or credit of a given figure, while running balances stay true to the ledger.

Trial balance GL Dump and gross profit

The trial balance gains a GL Dump export: the balance on the first sheet, then one sheet per account with every posting. Expense accounts can now be classed as direct or indirect, and the profit and loss summary then shows cost of sales and a gross profit line. The profit and loss report now refuses a date range spanning two financial years instead of quietly dropping the first year's postings.

Invoice email templates with AI

Invoice emails now use named templates that you create from scratch or build with AI, then preview with sample data before use. Existing invoice email settings were moved into templates automatically. The sending queue shows batch status with sent and failed counts, invoice automations get a read-only details page with their filters and schedule, and credit notes can now be emailed to customers.

Cancel receipts and refunds at an exact time

Receipts and refunds now cancel on a chosen date and time, starting from the document's own creation moment, so the reversal sits on the customer statement exactly when it happened. The creation moment is shown for reference, and clear messages explain any time that is too early.

Faster cashier and receipt handling

Receipts show who created them, a Receive Again for this Customer button starts the next receipt with the customer already selected, and the submitted receipts list exports to Excel and PDF. Bank vouchers can now be searched by receipt number, customer, amount and, for real estate, property.

Petty cash and purchase VAT safeguards

Petty cash lines posted to a VAT account now require a vendor name, so input VAT claims are backed by a named supplier. Purchase orders, purchase invoices and supplier credit notes can no longer carry VAT on both the header and the lines, which prevents double-counted VAT in your NBR return.

Cheques and vouchers that print correctly

Cheque printing now keeps fields you did not place or chose to hide off the page, so a cheque never prints blank. Cancelled payment vouchers show a clear banner with the reason, date and the user who cancelled them.

Accuracy and reliability fixes

VAT on recurring contract invoices no longer carries over between periods, the trial balance and ageing reports were corrected, and online payment links can no longer create duplicate receipts. Invoice statements and reminders now always go to the customer's current email address.

HR & Payroll: face and palm attendance, payroll catch-up and new reports

Our HR and payroll software takes a big step with biometric terminals managed entirely from FlairSuite, plus checks that stop approved pay items from slipping through the cracks.

Face and palm enrolment from the ERP

Attendance terminals that recognise faces and palms are now fully supported alongside fingerprints. HR can enrol, view and delete fingerprints, faces and palms for each employee, and push them to every device the employee is allowed to use. Before granting access, FlairSuite warns if a device cannot accept the stored template, so nobody turns up at a reader that does not know them.

Manage attendance devices in one place

A new Manage Devices page under HR Attendance lists every terminal with its users. You can set a device user as administrator or normal user from the ERP, wipe and refill a device safely, archive old devices and delete devices that never recorded attendance. Unmatched device PINs and shared PIN conflicts are reported, so attendance logs always land on the right employee.

Payroll catches late-approved items

When you generate payroll, FlairSuite now lists overtime, additions and deductions that were approved after their own month had closed. For each one you choose to add it to this payroll, ignore it for now or cancel it with a reason, so approved pay is never left unpaid by accident.

Shift times on attendance reports

Attendance reports now show the shift that applied each day, including both halves of a split shift and a flexible label where late arrival is measured on worked hours. Attendance processing was also made more robust, so a problem with one record no longer holds up everyone else.

Payslips viewed in the app

Payslip PDFs now open inside FlairSuite and can be filtered by employee or department before printing or sharing. Payroll Excel and bank-wise transfer files download more reliably.

Salary change requests at a glance

While a salary change is waiting for approval, the employee's salary tab shows the requested components next to the current salary and a summary of the difference, for users allowed to see it.

Indemnity and loan reports

The Indemnity Amount Report moves to the new report viewer, with a drill-down showing how each employee's end-of-service indemnity was built up band by band. A Loan Report joins it, and HR reports now show department and job title as separate columns, with an employee filter on the overtime summary.

Employee records and requests

Employee requests now always show their comments and attachments, an Appraisal Skills page lets you maintain the skills used in appraisals, and asset categories can be edited in place. Terminated employees no longer appear in everyday employee lists.

Platform: an AI help assistant, personal dashboards and better reports

AI help assistant

A new assistant answers questions about FlairSuite in plain language, using only the official manual and the page you are on, so answers match how your system actually works. It also knows every report, recommends the right one for a question and tells you when you need to ask your administrator for access.

Built-in user manual

A full User Manual now opens inside FlairSuite, organised to match your own menu and permissions. Pages that have help show a help icon in the header, so guidance is one click away from the screen you are working on.

Dashboards you can personalise

Each user can now show, hide and reorder dashboard blocks without changing the dashboard for anyone else, and reset to the default at any time. A period picker offers rolling windows such as the last 30 days, this month, this quarter or year to date, following your financial year, so a dashboard never goes stale. Dashboards now follow each group's permissions and load faster thanks to caching.

Report viewer: sorting, exports and documents

Every report in the new viewer can be sorted by any column, and the PDF and Excel exports keep that order. Reports can now offer their own buttons, such as the trial balance GL Dump or a customer's Outstanding Balance PDF, and stock, purchase and HR reports were moved into the viewer with drill-downs.

Forms inside approval workflows

Workflow designers can now attach forms to any approval step, such as a checklist or an evaluation, and mark forms as mandatory. Each approver fills in their own answers, which stay with the record afterwards, for example on the request for quotation. Form submissions can also be sent for approval straight from the read-only view.

Company fonts for every PDF

Choose the English and Arabic fonts used across all your PDF documents, upload your own font files, preview the result and keep a history you can restore from. Your invoices, letters and reports then carry a consistent brand.

Audit log details

Each audit log entry now opens on its own page with a field by field before and after comparison, and a Changed only switch. The audit log list can be exported for auditors.

Switch company from the top bar

Users whose email belongs to several companies can switch between them from the top bar and pin a default company, without logging out.

Faster, friendlier lists

Lists remember their page, filters and sort in the address, so refresh, the Back button and shared links open the same view. Product pickers load quickly even with thousands of products, user photos appear in lists and record sidebars, and your dark mode choice is remembered.

CRM & Sales: simpler contracts, instalment plans and cleaner customer data

Sales and collections teams get quicker contract set-up, more dependable instalment plans and reports that keep your customer list clean.

Choose the invoicing day on monthly contracts

Monthly contracts now offer a simple choice: invoice on the same day the contract starts or on a specific day of the month. New contracts default to a full one-month term and check the rules as you type, so auto-save no longer shows errors while you are still filling in the form. A View Contract button opens the contract PDF directly.

Instalment plans linked to real payments

Instalment plans now count genuine customer receipts against the covered invoices instead of creating separate plan receipts. You can pick several invoices at once, delete draft plans, and plans with an unrealistic number of instalments are stopped with a message showing the minimum amount that fits.

Collection reminders that wait for approval

Collection reminders that need sign-off are held until approved, and the customer then receives exactly the letter and statement the approver saw. A daily digest lists reminders still waiting, and customers held too long are released back to other collection processes.

Customer and supplier change reports

Changes to customers and suppliers are now logged, with three new reports: Customer / Supplier Changes, Customer / Supplier Name Changes and Duplicated Customers / Suppliers. CPR and passport numbers can be recorded on contacts, helping you spot duplicates and keep KYC details in one place.

Active contracts filter on customer pickers

Receive Payment, credit notes, refunds, adjustments, contract invoice generation and the companies list can now show only customers with active contracts, and the choice is remembered across screens.

Court case filters and cleaner numbering

The court cases list can be filtered by case number, customer, status, ruling status and date. Sales orders are now numbered when created, so abandoned drafts no longer pile up without a number.

Gated communities: resident asset registers and safer visitor passes

Resorts and gated communities get a fuller register of what residents keep on site and tighter control over who comes through the gate.

Resident asset registers with approvals

Owner assets such as pets, golf carts and boats are registered against configurable asset types, with optional approval workflows for new registrations and deletions. Colours are picked from a bilingual list, and each record can be printed as a PDF.

Temporary registrations that expire

Asset types can define expiry rules, so temporary registrations switch to inactive automatically once their end date passes. Records can be archived and reactivated without deleting anything, keeping a full history.

Resort dashboard

The dashboard shows records by asset type, new registrations over the last six months, the latest registrations and a Needs Action list, with a customer picker to see everything one owner holds.

Visitor passes with OTP and limits

Visitor passes can require a one-time code confirmed by the resident before the gate sees them, and unconfirmed drafts expire without using up daily slots. Booking limits, protection against bursts of registrations and a shared blacklist now apply equally in the residents' app, at the gate and through the voice assistant.

AI voice assistant

Connect a phone number and an AI voice assistant answers calls in your business name, in the language and voice you choose. It can register visitors and open support tickets, routing each ticket to the right team under that team's SLA, with a fallback team when it is unsure.

Call log with outcomes

Every call is listed with the caller, length, outcome, result, team and a short summary, so managers can review what the assistant handled and why.

Write and rewrite with AI

The AI template builder can now rewrite an existing email template from a short instruction, not only create new ones. All system SMS now go out under the sender ID of your default SMS gateway, so customers always see the same name.

Mobile app: payroll, HR letters and receipt printing on the go

The FlairSuite app for iOS and Android picked up a long list of HR, finance and sales tools this month.

Payroll and payslips in the app

Browse payroll months, open a payroll's details, and print or send payslips to employees from your phone.

Appraisals, leave and HR letters

Managers can view and modify appraisals and give feedback, review and cancel leave records, and generate HR letters from templates with a chosen employee, custom fields, preview and history. Leave requests can attach a photo or a file from the camera, gallery or files.

Receipts printed on handheld devices

On Sunmi handheld devices, receipts print automatically when a payment is received, with a switch to turn auto-print on or off and a notice each time it prints. Cashier submissions print too.

Faster quotes and purchase orders

Quotes allow adding a new product or customer inline and generating a payment for simple sales, purchase orders save automatically and can be linked to a related record, and suppliers can be added from the supplier list. Amounts display in BHD with three decimals.

AI-written SMS and email templates

Generate SMS and email templates with AI on the phone, insert personalisation fields, and see the character count and encoding before sending.

Tickets and company switching

Tickets can be duplicated or deleted from the ticket view, and users with several companies can switch between them in the app.

Purchasing: quicker invoicing and clearer supplier bids

Small changes that remove steps for procurement teams.

Convert a purchase order to an invoice

Approved purchase orders now have a Convert to Invoice button, so the supplier invoice is created from the order instead of being typed again.

Supplier bids in one view

On a request for quotation, everything a supplier submitted with their bid, including notes and files, opens in one dialog, the bid status column shows who has not yet been sent the request, and you can add registered or unregistered suppliers and send reminders.

New suppliers from approved requests

When a Request Add Supplier form is approved, the supplier can be created directly from it, with its supplier code checked.

Payment terms, units and reports

Payment terms and units of measure are managed from purchase settings with simple add and edit forms. An Orders Sent Report lists purchase orders emailed to suppliers, and purchase invoice PDFs show the location column when it is used.

Stock reports with drill-downs

Product Qty per Store, Minimum Stock, Slow Moving Products, Stocktaking Form and the Issue Note Report now run in the new report viewer, scoped to the categories or stores each report is set up for. The Minimum Stock and Issue Note reports drill into the detail behind each line, and the Issue Note Report exports to Excel grouped by note, with every product line and a total for each.

Property managers get tidier unit lists and occupancy figures they can trust.

Archive units

Flats and units can be archived and restored from the property page, with an Archived Flats list. Archived units drop out of occupancy figures, so a fully let building can reach 100% occupancy.

Yearly property report

The yearly report gets a year dropdown with previous and next links, a payment-to-date option carried into the PDF, and a cleaner PDF layout.

Flat details on receipts and accurate occupancy

Receipts now show the flat number and unit type for each item. Security deposit items and common areas are kept out of the units list and occupancy counts, and unit names update when a flat is renamed.

Customer portal on your own domain

The customer support portal can now run on your own web address or the default one, set from a Domain page, and each portal only accepts logins for its own company. Staff can see which contacts already have a portal login, create one with a suggested username and print the login details for the customer.

Redesigned ticket view and SLA dashboard

Tickets open in a cleaner layout with actions in a sidebar, and the SLA dashboard now uses the standard list with filters and summary figures.

More dependable SLAs and escalations

SLA timers, triggers and escalations now fire exactly once per cycle, customer emails go through the standard email queue, and deleted rules are kept for history rather than removed.
