  1. This follows Choose which account each kind of message uses. Customer chats reach your Inbox through a chatbot, and a website chatbot is the quickest start: it needs no WhatsApp or Instagram account.

  2. In the Communications settings, under Chatbots, open Chatbots. It lists every assistant your company has, whatever channel it answers on.

  3. Click Add chatbot, choose the type Web chat, and give it a name. Only your team sees the name.

  4. A web chatbot answers in a chat window on your website, so it needs no profile. Click Add chatbot, and its page opens.

  5. Open the Instructions tab. The AI agent is the service that writes the replies, and the model is left empty so it uses the default. If a No API key warning ever shows here, the chatbot cannot reply until one is added.

  6. The public instructions are what the chatbot may tell anyone who writes. Replace the starter text with your opening hours, delivery times and tone of voice. Default instructions fills in a starter text whenever the box is empty, and the private instructions below cover what only known customers or staff may be told.

  7. Finally, switch the chatbot On. Every change saves by itself, so wait until it says All changes saved. The chatbot now shows as Answering.

  8. Your chatbot now knows what to tell visitors. When it cannot help, it passes the chat to one of its agents, so next you add yourself. The next video is: Choose who takes over and test your chatbot.
